Obtaining a site

Establishing a site is usually most quickly accomplished by sending an email to weboffice@uwa.edu.au requesting a website and
  1. suggesting a name for the site,
  2. suggesting a web address (URL) or domain*,
  3. nominating the content custodian,
  4. indicating if the site is intended to be an official site, a sponsored site or an intranet-only site,
  5. providing the name and email address of site administrators,
  6. cc'ing a copy of the email to the content custodian,
  7. please be aware that the University Web Guidelines require that all official websites must submit and maintain a Site Management Plan.

Requests for a CMS hosted website that comply with these requirements are usually actioned with one working day.

Site Name

The name of the site must be unique across the University. The site name should reflect that of the business unit, service provided or target audience. Site administrators can change the site name at any time once the site has been created.

Web Address

New web sites are usually created with a temporary address. The temporary address is available while the site is under construction and will be switched off once the site is published under it's proper address.

New addresses or transfers of existing addresses that are subdomains of the University domain i.e. www.something.uwa.edu.au require the completion of a domain name request form (140k PDF). The completed form should be forwarded to the Manager, University Communications Services. Requests for subdomains of the University domain must comply with the University's Domain Name Policy.

Requests for subdomains of University subdomains i.e. www.something.arts.uwa.edu.au should be made to the owner of the University subdomain in question.

Other addresses may be available but must comply with the University's Domain Name Policy.

Content Custodian

Approval for a website on the CMS usually requires permission from the School Manager, Faculty Executive Officer, Director or Department Manager.

The authorising officer will be the site's content custodian.

Content custodians often have no day to day involvement in running the site other than authorising the assignment and removal of site administrators and, for official websites, maintaining a site management plan.

Official sites

Official websites are defined as "constructed using University resources and conducting University business". Most websites at the University fall within this category. Websites that incorporate any teaching or course related information will generally be deemed official.

Official websites must incorporate the relevant University branding and sub-branding elements.

A Site Management Plan must be submitted and maintained for every official website.

Sponsored sites

Content Custodians may authorise requests for sponsored or unofficial websites. Sponsored sites must still comply with the requirements in the University Web Guidelines but are not required to incorporate the University or faculty sub-branding elements.

Limited support and training is available to administrators and editors of sponsored websites.

Intranet sites

Please make enquiries with the Website Office weboffice@uwa.edu.au regarding web sites that are intended only to be accessible within the University.

Site Administrators

Please list all the people that you would like to be able to work on the website. Bear in mind that site administrators are able to make changes to the website that are publicly visible.

CC'ing Content Custodian

The Website Office will act on requests for changes to site administrator and user manager permissions and web site addresses on the consent of the content custodian implied in a cc'd email.

Content Custodian's name
The authorising person/position for a web site in the content management system. This person accepts responsibility for all content published on the website but may not have any direct role in maintaining or administering the website. The content custodian is responsible for ensuring that the website complies with the University Web Guidelines.
