ITS Cyllene Username Management Policy

Usernames on the ITS departmental server(s) belong to the authorising department. The department, through the Head or a registered delegate, may request that a username be removed, locked or have its password changed. While ITS will attempt to give some prior notice, the department may insist on immediate action.

 

Passwords

Cyllene passwords must be changed at least once every year.
Notice of expiring password is sent automatically to the username's cyllene mailbox.
It is the applicant's responsibility to ensure the cyllene mailbox is read regularly or to have cyllene mail forwarded to another mailbox that is read.

Unexpired passwords can be changed through the Email Facilities, expired passwords can be changed for up to sixty days after expiry via the webpage.

Passwords should NOT be saved in applications.
This is a security risk, and a monetary one. If a computer is stolen, it could be used to dial in and download hundreds of dollars of network traffic at the department's expense.

Passwords should not be shared with multiple users. This also is a security risk. In addition, this practice has caused practical problems when one user has changed the password and not informed others.

If passwords are forgotten, new ones cannot be issued via phone or email.

 

Username Expiry

Notice of expiry is sent automatically to the username.
Renewal must be authorised by the department.
By default, the expiry will be 31 March each year.

 

Removal of expired usernames

A cyllene username which has been expired, or had an expired password, for more than 6 months will be removed by automatic processes. A username with an expired password will not have the account expiry date extended until after the password is re-activated.

 

Mailboxes

No message greater than 10 megabytes can be sent or received by cyllene.
Messages should not be left in the primary cyllene inbox, but downloaded to personal or departmental computers or transferred to folders in the user's cyllene disk space. 

Mailing list subscriptions should be unsubscribed if you will be unable to clear messages frequently.

We employ a spam filter and any spam detected is moved automatically to a series of folders with the names kspam, kspam1 and kspam2.  These are cycled down and eventually deleted after approximately 6 weeks.  There is no need to delete these manually - there are no quotas on the personal cyllene disk space areas that will be affected by their size.
